Instructions for Exhibitor

The articles listed herein are applicable to China Int'l Sewing Machinery & Accessories Show 2025 (CISMA2025).

Exhibitor (Exhibition Unit) refers to the entity that will be allocated booth(s) at this fair.

Company registering to exhibition booth is deemed to have agreed to the contents of the Terms of Exhibition and its supplementary provisions. The terms take effect on the day the organizer receives the exhibitor's booth application form and the registration fee is paid.

 

 

1.   Verification of Exhibitor's Qualifications

1.1  Exhibitor of CISMA shall be a business entity with business license issued by relevant industrial and commercial management department.

1.2  Products and brands the exhibitor chooses to exhibit shall be consistent with those in its application form.

1.3  The exhibitor shall not present any product that violates intellectual property rights or other legal rights.

1.4  Exhibitors must be the designers, manufacturers, or distributors of the exhibited products. Exhibiting products that are not related to the scope of the exhibition is prohibited. Otherwise, the organizer reserves the right to directly remove the products or close the booth(s), with the exhibitor bearing all losses.

1.5   Exhibitor is not allowed to transfer or sublet their booth, in whole or in part, to a third party.

 

2.    Booth Allocation and Compensation of Contract Breaching

2.1   Booth(s) will be allocated according to the exhibitor's product category.

2.2   Booth(s) will be allocated based on a comprehensive evaluation of the exhibitors, membership status and registration order will be taken into account. The organizer retains the final decision on booth allocation.

2.3  Deadline of registration is March 31, 2025. Due to the limited capacity of exhibition hall, some applicants may not be allocated a booth.

2.4   Before July 22, 2025, if an exhibitor haven’t confirmed its booth allocation and intends to cancel its booth(s), the exhibitor should notify the organizer in writing. After submitting the withdrawal application, the service fee of CNY 1,000 from the registration fee will not be refunded. If the exhibitor has entrusted an individual to pay the registration fee, an additional CNY 1,000 service fee will be deducted. If an exhibitor have confirmed its booth allocation, a proportion of the booth fee will be deducted according to the    specified rules.

2.5   After July 23, 2025, if an exhibitor intends to cancel its booth(s), the exhibitor must notify the organizer in writing and compensate the organizer based on the following proportions of the booth fee:

3.   Booth Confirmation and Contract Formation

After the organizer allocates a booth to the exhibitor, an exhibition contract will be sent to the exhibitor, and the exhibitor must pay the relevant fees within the time specified in the contract. If the organizer has not received the required payments from the exhibitor by the final payment deadline in contract, the contract will automatically become void.

If he exhibitor still intends to participate, they should wait for a new booth allocation and follow the procedures outlined in a new contract.

 

4.  Termination

The organizer has the right to unilaterally cancel exhibitor's participation in the exhibition under any of the following circumstances, their payment will not be refunded, and the exhibitor must also compensate the organizer for any losses incurred as a result.

4.1   The exhibitor haven’t cleared all the payment in required period.

4.2   Subleasing or transferring the booth without written permission from the organizer.

4.3   Other serious violation(s) of these exhibition terms and supplementary provisions that disrupt the normal proceedings of the exhibition.

 

5.    Insurance

The organizer will take the necessary security measures for the exhibition. Exhibitors are required to purchase "Exhibition Liability Insurance" from an insurance company and properly safeguard their exhibits and personal belongings. The organizer will not bear any legal responsibility for the loss or damage of exhibits or personal items. The organizer will recommend insurance companies, and exhibitors are free to choose other insurance companies as long as the insurance meets the requirements of the event.

 

6.    Booth Installation

6.1   The exhibition has a official contractor responsible for the installation of the exhibition hall facilities and standard booths.

6.2   All contractors working with exhibitors using raw space must be registered and qualified at the Shanghai New Int’l Expo Centre and comply with the management of the main contractor. A management fee must be paid for raw space booths. The construction of double-floor booths is prohibited at this exhibition.

6.3   Standard booths will be installed and managed uniformly by the official contractor. Exhibitors are not allowed to reconstruct the booths. As requested by the main contractor, exhibitors using standard booths must pay waste disposal deposit according to the specific exhibition requirements.

6.4   All hanging points must be managed and implemented by the main contractor, the official contractor will charge fee and issues invoice.

6.5  All construction facilities, exhibits, and advertising materials must not extend beyond the booth boundaries or occupy public area.

6.6   Exhibitors are not allowed to hang sound equipment above their booths, nor place sound equipment within 3 meters of the aisle. The sound level at the booth must not exceed 75 DB.

6.7   Raw space must submit booth design plans for approval, as per the time and content specified in the service manual.

6.8   All installation and construction plans must comply with the regulations of the Shanghai New Int’l Expo Centre.

 

7.    Transportation

7.1   The exhibition has a official freight forwarder that can provide services for receiving, storage, and moving exhibits in and out of the exhibition hall. The transportation of exhibits into and out of the venue must be handled by the designated transportation company.

7.2   Empty boxes should be stored by the main transportation company with compensation. Exhibitors should promptly sort, pack, and label empty boxes and place them in the designated storage area to be managed by the official freight forwarder, to avoid being removed as abandoned waste.

7.3   All freight vehicles entering the Shanghai New Int’l Expo Centre must apply for "Waiting Permit" and a "Freight Vehicle Entry/Exit Permit" to enter the unloading area. Drivers must also follow the instructions and scheduling of SNIEC staff. The method for applying the "Waiting Permit" can be found in the "Service Manual."

7.4   During exhibit transportation, additional compensation may occur when moving and relocating oversize and/or overweight items.

      The surcharge for oversized and/or overweight exhibits will also be indicated in the "Service Manual." Exhibitors with relevant items must review the cost details and regulations for moving and relocation in advance.

 

8.    Admission

The organizer reserves the right to refuse entry to any person into the exhibition hall in accordance with the requirements and regulations of the show. For safety concerns, children under 14 years old will not be allowed to enter.

 

9.    Prohibited Items

9.1   External food, air compressors, stepladders, and small hydraulic carts are prohibited.

9.2   If the exhibitor need entrance for furniture, decorations, and plants, they should apply for entry permit using booth deposit receipt, design sketch, construction permit, or exhibitor badge.

 

10.   Public Security and Fire Safety

The organizer will promptly notify exhibitors of the latest public security and fire safety regulations, and all exhibitors are required to comply and cooperate.

 

11.   Promotion

CISMA provides exhibitors with comprehensive advertising services. Exhibitors could apply online through the exhibitor self-service system or apply offline. The contract can be sent to exhibitors by E-mail.

 

12.   Event Management

All events held by exhibitors during the exhibition must be reported to the organizer for information registration. The organizer will coordinate the schedule and venue for the events. The venue will no longer provide separate event space rental services for exhibitors.

 

13.   Dispute Resolution

Civil or economic disputes will be jointly mediated by local public security, street office, and the court, with on-site offices for handling. Intellectual property issues will be assisted by staff from the Intellectual Property Office on-site at the Intellectual Property Office.

 

14.   Force Majeure

In case of any changes to the exhibition date, cancellation, or change of exhibition location due to force majeure, the organizer will, depending on the specific situation, refund part of the fees paid by exhibitors. The organizer shall not bear any responsibility for the losses caused to the exhibitors due to the above reasons.

 

15.   Supplementary Clauses

The organizer reserves the right to issue and announce supplementary clauses. All supplementary clauses should be seen as part of this Terms of Exhibition and are binding on exhibitors.

 

16.   Explanation

The right to explain and interpret this Terms of Exhibition belongs to the organizer.
